Delegation is an important and useful tool when you’re on an HOA board. However, it’s important to read through your governing documents and familiarize yourself with the laws that affect HOAs. You need to make sure you know what you are permitted to delegate before you start doing so.
Once you’re familiar with what you can delegate, you can move forward. Sometimes on HOA boards, certain members can become overwhelmed, because of the numerous assignments they find themselves tasked with. This is why it’s important for every member to know how to delegate successfully.
Choose the assignment
When deciding what to delegate, it’s important to consider every task on your current to-do list. You should be able to spot assignments that could be given to someone else to handle. Choose those assignments that have a little more give when it comes to time and specifics. You probably don’t want to delegate out the items that you are perfectly designed to handle. But, choose those items that you could more easily instruct someone else on.
Make sure your team members have what they need
When you delegate assignments, make sure the person you’re delegating to has everything they need. They need to know deadlines and any other information that is critical to finishing the project correctly. Be available to the person you delegate a task to as well. The person may have questions, especially if it’s something you’ve handled previously. Make sure they have the tools necessary to move forward by being willing to answer any questions they may have.
Be patient and understanding
Practice patience with the person you’ve delegated the task to. You may not be able to just hand off the project and walk away. You want to show trust in the person and give them space to handle the project. However, as mentioned above, you need to be available if there are questions. Also, try to avoid getting frustrated or passing judgment if someone makes a mistake. Just make sure to inform them of anything they need to know to make sure that the project is done following the procedures necessary.
Select the right person for the task
You need to choose who you delegate projects to carefully. Assign projects to people whose strengths align best with the task at hand. Don’t just choose anyone for the job, but the best qualified for it. Also, choose people who’ve shown themselves to be reliable and motivated to get the job done.
